Please note that once you have completed and confirmed your AMIA 2009 resubmission you will no longer be able to edit the document at the submission site.  The deadline for resubmissions is July 31 at 11:59 p.m. Eastern Time.

Update, Thursday, July 23, 2009

As of last week, "journal-eligible" papers in their entirety and the corresponding reviews were sent to the editors of the participating journals. In most cases, the SPC was able to honor either the first or second choice journal selection indicated by the author at the point of submission. The editors are now conducting an expedited triage to see if any papers are outside their range. They will inform AMIA by Monday, July 27. If a paper is judged to be in the scope of the participating journals, editors will send a message to the authors giving details of publication procedures and invite them to submit in a proper format. You should begin hearing from journal editors in the near future. If a paper receives negative triage from editors early on, the AMIA 2009 SPC leadership team will collectively decide whether to re-route the paper. Alternately, if the paper receiving a negative triage is not re-routed the author will be given the opportunity to submit (beyond 7/31 but time permitting) a five-page camera ready paper like any other accepted author. Authors of "journal eligible" should still submit a 400-word summary abstract of their paper/student paper manuscript to AMIA; the abstract will then appear in the Proceedings and will not be considered a "prior publication" of the work by participating journals. This abstract will not be indexed in MEDLINE since the journal article will be indexed. The deadline for abstract submission is July 31.

About the Manuscript Peer Review Process

Decision day for the Annual Symposium is always an active day for AMIA generating a number of questions for the Scientific Program Committee (SPC) and Staff. Beginning with AMIA 2008, authors of papers/student papers had the opportunity to request that their manuscripts be considered for potential publication in JAMIA. This program was expanded in 2009 to include several other leading journals. The program is intended to encourage authors to submit their best work to the AMIA Annual Symposium, without worrying that an AMIA Annual Symposium acceptance will prevent them from later publishing the work in a scientific journal. When such accepted papers are accepted by a journal, only the short abstract will appear in the AMIA Annual Symposium Proceedings.

This enhancement to the AMIA Annual Symposium required the SPC to redesign the peer review process for submitted manuscripts (i.e. papers and student papers). Due to the increased focus on identifying submissions that have potential to be published in a biomedical informatics journal and the substantial efforts required from peer reviewers for the >400 submissions, this year's review process included an early triage assessment for all submissions by the SPC. The SPC reviewed all submissions and provided an initial triage assessment which identified manuscript submissions that received a lower priority; the SPC only provided feedback for these submissions. Every year AMIA receives a large number of paper and student paper submissions and the acceptance rates are around 45%, making the Annual Symposium a competitive venue. The AMIA 2009 SPC hopes that the provided comments for your paper submission were helpful and offered feedback that will help refine the manuscript, so that it can be presented in an appropriate informatics venue in the future.

Manuscripts in the paper and student paper category accepted for presentation at AMIA 2009 by the SPC received one of two labels: "accept-journal potential" or "accept- proceedings potential." Accept-journal potential indicates that the manuscript will be offered to one of the journals preferred by the author for potential publication. Authors with manuscripts in this category will receive a communication from AMIA in the near future elaborating on the details of this process. Accept-proceedings potential means the (five-page) paper will likely be accepted for publication in the Proceedings and assuming the author adequately addresses reviewer/SPC comments during the resubmission phase.
